Terms and Conditions for renting "Samlingsstuen"

The venue is rented per day from 10:00 AM to 10:00 PM.

If you wish to rent the venue from 10:00 AM until 8:00 AM the following day, you must book the four rooms located above the Gathering Room at Købmandsgaarden Kerteminde. www.koebmandsgaardenkerteminde.dk

Select “Book the entire Købmandsgaarden.” We hope for your understanding that we cannot allow nighttime parties if the rooms above are booked by other guests. However, if your own guests are staying in the rooms above, that’s a completely different matter.

Please always be considerate of other residents at Andresens Købmandsgård.

If the Gathering Room is not rented the day before your booking, you can collect the keys after 5:00 PM the day before. However, we can only confirm whether the venue is available the day before your booking, two days prior to your reserved date.

If you want to guarantee access to the venue the day before, for example, for table setup, you can book 3 hours the evening before your event. This can be booked at www.koebmandsgaardenkerteminde.dk

You book table setup time at the same place you book the Gathering Room for your event. Table setup time can only be booked starting from 7:00 PM the evening before.

If your booking involves a confirmation or other early-day events, please call +45 52423137 so we can discuss a solution together.

The price for the Samlingsstuen from 10:00 AM to 10:00 PM is 4,300 DKK per day.
Prices are subject to change.

If you do not wish to handle the final cleaning yourself, it can be purchased for 1,000 DKK.

The renter must be at least 25 years old and present throughout the entire event.

Payment is made at the time of booking.

For cancellations between 4 and 8 weeks before the event, 75% of the rental fee will be refunded.

For cancellations between 1 and 4 weeks before the event, 50% of the rental fee will be refunded.

For cancellations less than 1 week before the event, 25% of the rental fee will be refunded.

The premises must be returned in a tidy condition:

– Wash the dishes

– Clean the oven and stove

– Put dishes and other items back in place

– Arrange tables and chairs in the standard setup

– Vacuum all floors

– Close all windows

– Turn off both refrigerators

– Turn off lights and heating

– Take down the flag

– Lock the double doors at the back of the room and the door to the lounge

– Follow the waste sorting instructions posted in the kitchen

– Dispose of glass and bottles yourself unless disposal via our container has been purchased. Remember to instruct your staff about this. We often see that your staff are skilled and thorough but end up disposing of bottles in our container even when self-disposal has been agreed upon 🙂

Smoking is not permitted inside the building, but the tables in the courtyard may be used. The provided bins should be used for cigarette butts and ash.

Ball games are not allowed in the courtyard.

Grilling at Købmandsgården is not allowed without prior agreement.

The key is collected at Købmandsgaarden by arrangement. After use, leave the key on the kitchen counter and close the doors securely.

The venue includes a prep kitchen and a dishwashing room.

Please refer to the overview for all tableware.

REMEMBER – you must provide your own tablecloths, napkins, candles, tea towels, dishcloths, coffee grounds, bags, and foil for food, as well as garbage bags.

White tablecloths are available for rent at 60 DKK each.

If the tableware is not properly cleaned (e.g., food residues or dirt on cutlery and lime stains on glasses) when returning the Gathering Room, you will be charged additional fees for extra washing.

Please note that the dishwasher must be turned off after use.

If waste is not sorted into the correct waste containers, you will be charged 500 DKK for sorting. Please refer to the guidelines available in the kitchen.

As the renter, you are liable for damages to the rented property that are not due to normal wear and tear.

Music is allowed as long as it does not disturb other residents in Andresens Købmandsgård.

The piano and jukebox are not allowed to be used out of consideration for the old tiled floor.

Parking in the courtyard is only possible if parking spaces 9 or 10 are available. These two spaces belong to Købmandsgaarden Kerteminde. Please only use these parking spaces. If they are occupied, you can park in the streets outside the courtyard. Remember to check for any parking regulations via signage.

All movement in the courtyard must be carried out with consideration for the residents.
